RezOvation Desktop FAQS : Merging Duplicate Contacts

To access this feature, go to the Select Names screen, find the first contact that you would like to merge, right-click on it, and select Edit > Merge Contact Records.

You will now see the merge contact dialogue. Follow these steps to merge two contacts into one record:

1. Select the first contact that you are merging into (the primary contact) from the name drop down on the left (Step 1 in the image below). By default, the last contact you selected from the Select Names screen is displayed.
   
2. Select the second contact that you are merging from (the secondary contact) from the second name drop down on the right (Step 2 in the image below). Note that if the second contact name appears in red then you have not properly selected the secondary contact.
   
3. For each entry on the contact record, select the entry that you would like to keep or combine. For example, if the first contact record is considered the "primary" record, then you should keep all the contact information from this record. Note that you cannot combine any of the main contact data entries (Last Name, First Name, Address, etc.). You do have the option of combining your custom text fields and your contact notes.
   
4. Select the contact record which contains the most relevant category, source, events (special occasions), interests, and contact check box data. This information cannot be combined.
   
5. Select the Merge Records button, and confirm that you want to combine the records.
   Note: if the Merge Records button is grayed out, then you did not select the second contact as described in step 2.
