We're improving RezOvation GT to make it easier for you to manage your reservations.
As part of the Winter update, available Wednesday Dec 16, we're adding some new features and making some changes to ensure that booking reservations is faster and easier, both for individual and group reservations.
We're making these changes because you and other innkeepers need better tools for creating and managing reservations. Please take a moment to read this guide and ensure that you and your staff are ready for these changes.
Occupancy Map Room Selection Changes
Selecting dates and beginning the booking process is now a two-step process. We're making this change to make it easier for you to:
- make (and edit) room selections
- select multiple rooms
- block rooms out of service
- edit selections before booking
So what's changing? Read on ...
Making a room selection
First make your selection:
Then right-click on the selection and click Book Reservation, or press Enter on your keyboard:
This will begin the booking process using the Reserve Room screen (see below for more details on changes to this screen).
Editing a room selection
To clear a room selection before beginning the booking process, press Esc on your keyboard, or right-click on the selection and click Clear Selection.
To select additional dates or rooms (which do not have to be consecutive), simply click and drag in the grid for the room / dates you want to book before selecting Book Reservation. You can also deselect specific dates by clicking on the selection in the grid (e.g. to remove the last day from the selection, click on it).
Booking Process and Room Edit Changes
The "Reservation Room" screen, which is used to finalize a booking, edit rates, apply packages, assign guests by name to a room, and change number of guests in a room, has been improved based on your feedback to be easier to use, and better support multiple room reservations and packages. The changes are:
- Discounts and rate overrides now apply to all rooms in the reservation, even after it is booked
- Per-night rates can be manually edited by selecting the "manual override" button and right-clicking in any room night cell
- Guests are assigned per room, with a single guest name per room, using a significantly easier guest name selection process
- Only selected rooms are displayed, but you can still view all available rooms by selecting the "Show all available rooms" box
- The package display and selection process now loads significantly faster and makes it easier to select packages
- Packages can be selected per room, with different packages in each room
- When editing rooms an existing reservation, you can now edit all rooms at once.
Booking a room
Once you've made your room selections from the Occupancy Map and selected Book Reservation, the Reservation Room screen will appear.
If you don't need to make any changes to rates or room selections at this point, just click Book and you're done -- you'll be able to assign a guest name in the next screen.
Editing rates
Applying rate types and discounts will apply to all rooms on the reservation. Simply select the discount option (%, $, or flat rate) and enter the discount amount or flat rate amount, and the rates will be immediately updated in the grid.
To manually override rates on a per-night basis, click the Manual override button, and then right-click each room night that you wish to edit:
Adding packages
To add a package, click the Show Packages box, and select a package for each room (you can apply packages to only some rooms if you wish.)
Assign guests to rooms
Place your mouse cursor over the "unassigned" field in the Room Contact column. You'll see a menu.
Click the menu and select Assign Contact.
Search for the guest (if they are already in your database), or click Create New.
Click OK.
Editing room assignments on an existing reservation
The method for opening the Edit Room screen has not changed -- to edit a room assignment, first either open the reservation and double-click on any room assignment from the "Items" list, or right-click on a reservation from the occupancy map and choose "Edit Room".
The Edit Room screen will appear. From here, you can:
- Check the Show All Available Rooms box to add additional rooms to the reservation;
- Click on the name of an existing room to remove it;
- Click on the name of an unbooked room to add it;
- Click in any room night cell to add / remove it from the reservation.
Group Reservation Improvements
We've added a number of new features and made some improvements to better support group reservations. You can learn more about this feature by reading the in-program help, or visiting the RezOvation Wiki.

Is this update required?
While updates are not required, they are strongly recommended. Each update includes many new features, bug fixes, and improvements that will make RezOvation GT more stable and useful.
Can I wait to install the update?
Yes, you can install the update at any time by clicking the "install update" message that appears when you start RezOvation GT. If you don't want to receive messages about the update, please do the following:
- Go to the Configuration section and click the Auto Update link at the top of the screen to disable automatic updates.
- Go to the RezOvation GT Program Files folder (typically in C:\Program Files\RezOvation\), open the System Files folder, open the RezoUpdates folder, and delete any files in this folder.
You can then manually apply the update at any time by downloading and installing this file: http://downloads.rezovation.com/rezovationgt_update.exe.
