| Overview |
| Guest Tracker ships with
a pre-defined Housekeeping Report entitled "Units Status" and "Unit
Status - Detailed". If one of these reports suits your needs,
skip directly down to the printing portion
of this page, otherwise the first section specifies how to create
a Housekeeping Report (keep in mind you can always modify existing
reports). |
| Creating
a Housekeeping Report |
| These instructions work in conjunction with the instructions
for creating a List Report in the Guest Tracker User's Guide (page
230). |

Follow step 1 for creating a list report. |
| 2.) |
In step 2, after you have entered the
name, click on the Admin option button in the Applies To area.

Follow steps 3 - 12. |
| 4.) |
Step 13 is where you begin to select appropriate
variables for your report. Below is the list of variables that will
be available to you in this type of a report and what each will print. |

The class of the unit |
| Unit Capacity |
The capacity of the unit |

The name of the reservation arriving or staying
in the room. |
| Arriving People |
The number of people arriving or staying in
the room. |
| Arriving Requests |
The requests of the people arriving or staying
in the room. |
| Arriving Notes |
The notes of the people arriving or staying
in the room. |
| Departing Name |
The name of the people departing from the
room. |
| Departing People |
The number of the people departing from the
room. |
| Departing Requests |
The requests of the people departing from
the room. |
| Departing Notes |
The notes of the people departing from the
room. |
| Package Name |
The name of the package of people arriving
or staying over. |

You can follow steps 10-17 to add as many
or as few of the above variables as you like. Then continue through
the remainder of the steps in the manual to finish the report setup. |

Helpful Tips
It is useful to put a title at the top of the page with the
date of the report included. You need to do this using a text
box. An example of adding a text box to a report is shown in
the Mailing Label example starting on page 185 at Step 17 and
ending on page 190 at Step 34. The variable that will put the
date on the report is called Selected Date.

Printing
a Housekeeping Report |
| This report will be printed in the Administration
Section while viewing Unit Definitions. There are several things
you can do to change the look and information in the report. Here
are a couple of those options. |
| Print the
report for every unit: |
| 1.) |
While viewing Unit Definitions, click
on the File menu option and then on Print.

In the Select a Template window, highlight
the report you created earlier or the existing Housekeeping List. |
| 3.) |
Click on the All Units check box found
on the right side of the window beneath the Help button.

Then click on Print to print a hard copy
or Preview to view the report on the screen. |
NOTE: By clicking on
All Units, the report will show every unit in the main list whether
there is a guest using that room or not. The units that are not in
use will have no data except the name. By default, All Units is not
checked, which means that only the units in which someone is Arriving,
Staying Over, or Departing will print on the report.

| Print the
report for tomorrow or a different day: |
| 1.) |
While viewing Unit Definitions, click
on the magnifying glass (search window) down in the bottom left hand
corner of the screen.

In the first drop down, select the variable
Date.

This will create 3 text boxes below the
drop down box, a small one at the very left and 2 larger ones directly
below the drop down box. In the first of the larger ones (the middle
text box), enter a date for which you would like to print the report.

Click on the Search button at the bottom
of the Search Units window. |

Click on the Print button at the bottom
of the Search Units window. |

In the Select a Template window, highlight
the report you created earlier or the existing Housekeeping List. |

or Preview to view the report on the screen. |
