| Overview |
Normally, when you click on a Print button from
a Guest Tracker detail window (Reservation Detail, Person Detail, Yellow-Charge
window, Check-In, Check-Out or Quick Reservation windows), you are
presented with a Select a Template window as shown below. At that point
you must select a letter/report to print and then press Print again.
The Select a Template window is useful if you print multiple different
letters/reports from your detail windows but it can be avoided
as an option to save steps. If there is a particular window that
you ALWAYS print the same letter/report from, you can specify a
Default Letter/Report which will automatically be printed when
you click the Print button on that detail window.

Go to the Admin Section.

Click on the Preferences button.

Click on the Reports tab at the top of
the Preferences window. |

Under the Reports tab, you will be presented
with 6 drop-down boxes which will list available letters/reports for
that detail window.

In the graphic below, we've selected the "Confirmation Letter" to
automatically print 1 copy from the Reservation Detail window,
the "Invoice" to print 2 copies from the Yellow Charge
window, and the "Invoice" to print 2 copies from the
Guest Check-Out window.
This means that when you click the Print button on
the Reservation Detail window, you will not be prompted with the
Select a Template window, and 1 copy of the "Confirmation
Letter" will immediately be sent to the printer. Also, when
printing from the Yellow Charge window or the Check-Out window,
2 copies of the "Invoice" will automatically be printed.
On the other hand, when printing from the Person Detail, Check-In
or the Quick Reservation windows, we'd like to be presented with
the Select a Template window, so we've left those blank.

NOTE: If you have setup a Default Report and now would like to
be presented with the Select a Template window again, simply remove
that report from the appropriate drop-down box on the Preferences
window under the Reports tab. If you are running version 2.1.6
or later, there is an option called <NONE> in the drop-down
box that you can select.
